When life admin goes wrong
Everyone misses something eventually: a deadline, a payment or a renewal. What matters is acting quickly, contacting the right person and fixing the system so it does not happen again.
First steps: stay calm and act fast
- Find out exactly what you missed, when it was due and who is responsible for it. Read the original email, contract or rules.
- Act on the same day if you can. Most problems are easier and cheaper to fix early.
- Gather evidence: dates, screenshots, reference numbers, and any medical notes or documents that explain what happened.
- Write down what you will say before you call or email (see the Getting Things Done: Calls, Emails and Customer Service module for scripts).
Missed or nearly missed a university deadline
- If you can see a problem coming, ask for an extension before the deadline. At the University of Birmingham Dubai, extension requests must be made at least 24 hours before the deadline, and requests after the deadline are automatically rejected.
- If the deadline has already passed, universities often have an extenuating (or exceptional) circumstances process. Birmingham Dubai describes these as circumstances you could not predict, outside your control, that seriously affected your studies.
- Evidence matters. At St Andrews, illness of 5 working days or more needs medical evidence; at Birmingham Dubai longer extensions need signed, dated third-party evidence.
- Not every reason counts. St Andrews lists computer failure, missing backups, underestimating how long a task takes and clashing deadlines as examples that are not valid grounds.
- Late work without an extension usually loses marks. At St Andrews every day counts towards the penalty, including weekends and holidays.
- Rules differ by university, so read your own policy and talk to your tutor or student support office early.
Missed a payment
- Pay as soon as you can, then contact the company. ClearScore advises contacting your lender before another payment is missed and asking about waiving late fees or a revised plan.
- ClearScore says most UK lenders do not report a payment as missed until it is at least 30 days overdue, and a missed payment stays on a UK credit report for six years.
- Set up an automatic payment or a reminder a few days before the due date to stop it happening again.

Missed a renewal or got locked out
- Expired document: check the official site straight away. For example, u.ae says renewing an Emirates ID more than one month after expiry costs AED 20 per day, up to AED 1,000 (checked October 2026), so act quickly.
- Do not travel on an expired or nearly expired passport without checking the destination's rules.
- Locked out or hacked: follow the NCSC's steps: contact the provider through its official help pages, change passwords, log out all devices, switch on 2SV and warn your contacts.
Apologising and fixing the system
- A good apology email is short: say what happened, take responsibility, explain what you have done to fix it and ask what you should do next.
- Example: 'Dear Dr Khan, I missed the 5pm deadline for my lab report on Tuesday because I misread the date. I take full responsibility. I have attached the completed report and would be grateful to know whether it can still be accepted. Kind regards, Sara Ahmed, student number 1234567.'
- Do not invent excuses. Honest explanations protect your reputation, and false claims can be treated as misconduct at university.
- Afterwards, ask: which part of my system failed? Add the missing reminder, filter or checklist item so the same thing cannot happen twice.
Practise in real life
Tick each one off when you have done it.
- Find your university's (or future university's) extension and extenuating circumstances policy and note the request deadline.
- Write a template apology email you could adapt for a missed deadline.
- Check that every regular payment you make has an automatic payment or a reminder set.

- Ask for extensions before the deadline, not after.
- Pay missed bills quickly and talk to the company early.
- Apologise briefly and honestly, then fix the gap in your system.
