Keeping track of important dates: IDs, visas and renewals
Passports, residence documents, insurance and tenancy contracts all expire. Missing a date can mean late fees or a cancelled trip, so give every document a reminder long before it runs out.
Build an 'important dates' list
- Make a simple table with columns: document, number (last four digits only), issue date, expiry date, how to renew, reminder date.
- Include: passport, national ID or Emirates ID, residence visa or student visa, driving licence, health insurance, phone contract, tenancy contract, university registration, and any travel insurance.
- Store the list in your password manager or a private, secure note, and the scanned documents in your 'Admin' cloud folder (lesson la-01).
- Add each reminder to your calendar (lesson la-02), set well before the expiry date.
UAE example: Emirates ID
- u.ae says you can renew an Emirates ID as early as six months before it expires.
- u.ae also says that if you renew more than one month after expiry, a late fee of AED 20 per day is charged, up to a maximum of AED 1,000 (checked October 2026).
- Renewal is handled by the Federal Authority for Identity, Citizenship, Customs and Port Security (ICP) through its website, the UAEICP app or its customer happiness centres.
- u.ae notes that anyone aged 15 or older must give fingerprints and a signature at an ICP service centre, so allow time for an appointment.
Passports and travel
- Passport validity rules depend on where you are going. For example, GOV.UK's travel advice for France says UK passport holders need a passport issued less than 10 years before they arrive and expiring at least 3 months after the date they plan to leave the Schengen area.
- Many countries have similar 'months of validity' rules, so check the official entry requirements for each trip.
- GOV.UK advises: 'Do not book travel until you have a valid passport.' Processing times change, so check the official service page before applying.
- A practical rule: set a passport reminder at least 9 to 12 months before expiry if you travel often, so renewal never clashes with exams or holidays.
- Your new passport has a new number, so update airline profiles, visa records and university records afterwards.
Visas and status abroad
- If you study abroad, your visa or residence permit is linked to your passport and your course. Note its end date, and any conditions such as work-hour limits.
- For UK visa holders, GOV.UK says to update your UK Visas and Immigration account when your passport, contact details or address change.
- Your university's international student office is the best place to ask about renewals, extensions or changes to your course that affect your visa.

Tick each one off when you have done it.
- Create your important dates table with at least six documents and their expiry dates.
- Add a calendar reminder for each one, set months before expiry.
- Check your passport against the entry rules for the next country you plan to visit.

Note: UAE fees and rules change: the Emirates ID details come from u.ae as checked in October 2026, so confirm on u.ae or icp.gov.ae before acting. The France passport rule applies to UK passport holders; other nationalities must check their own government's and the destination's official guidance. The '9 to 12 months' passport reminder is a practical suggestion, not an official rule.
